The holidays run on volunteers. Someone brings the ham, someone draws names for Secret Santa, someone stands at the toy drive table on a cold Saturday. When it’s all tracked in a group text, a few people end up doing everything and the rest find out about it at the last minute.
A sign up puts every job, dish, and RSVP in one place. Below are the holiday sign ups people use most, what to put on each one, and a template to start from.
When you’re running more than one holiday event, timing is everything. Here’s when to get each piece moving so nothing lands on you the week of.
6 to 8 Weeks Out (Early November)
3 to 4 Weeks Out
1 to 2 Weeks Out
After the Holidays
One sign up can handle the whole party: who’s coming, what they’re bringing, and who’s staying to help clean up.
What to include:
For a work party, add the gift exchange rules and price limit to the description too.
Need ideas for the party itself? See our Christmas party themes and Christmas party games. Planning the office party? Our guide on how to plan an office holiday party has a full timeline.
🎅 Christmas Party and Secret Santa Template
Start with slots for appetizers, mains, sides, desserts, plates, setup, and cleanup, plus an RSVP. Swap in your date, address, and dress code, and it's ready to send.
Use the Christmas Party and Secret Santa TemplateA Secret Santa sign up lets people opt in instead of being drafted. That matters at work, where not everyone wants to buy a gift. It also gives you a list of gift ideas, so nobody has to guess.
How to set it up:
Give people about a week to sign up and two to three weeks to shop. If you’re doing Secret Santa at a party, combine it with the party sign up so guests RSVP, claim a dish, and join the exchange in one step.

🎄 Run Secret Santa From One Sign Up
This template includes a "Join Secret Santa" slot where people add gift ideas in the comments, with room in the description for your price limit and sign up deadline. Use it alone or as part of your holiday party sign up.
Use the Christmas Party and Secret Santa TemplateA potluck without a sign up ends with six desserts and no main dish. Slot limits fix that. Set how many of each dish you need, and the slot closes when it’s full.
Here’s a starting point for a group of about 20:
| Category | Slots for 20 Guests | Tip |
|---|---|---|
| Main dishes | 3 | Ask for one vegetarian main |
| Sides | 5 | Mix warm sides and salads |
| Appetizers | 3 | Finger foods work best |
| Desserts | 3 | Cap this one, since everyone wants to bake |
| Drinks | 2 | Include water and a non-alcoholic option |
| Supplies | 2 | Plates, cups, napkins, serving spoons, ice |
Ask people to add their dish in the comments so others can see what’s coming. A custom question about allergens helps you label the table.
👉 For a step-by-step setup, see how to create a potluck sign up.
Potluck Template
Start with slots for mains, sides, drinks, desserts, plates, napkins, and setup and cleanup crews. Change the slot counts to match the table above and your guest list.
Use the Potluck TemplateA cookie exchange is easy to host and hard to mess up, as long as you don’t end up with 12 batches of chocolate chip. A sign up lets bakers claim a cookie type before they start.
What to include:
🍪 Start From the Potluck Template. Rename the slots and your cookie exchange is ready.
Change the dish slots to cookie types, like sugar cookies, gingerbread, and peanut butter, with one baker per slot. Add a custom question about allergens and put how many dozen to bring in the description.
Use the Potluck TemplateGiving drives work best when donors know exactly what to bring and volunteers know exactly when to show up.
For a toy drive or angel tree, list each child or family as its own slot with their age, sizes, and a few wishes. Donors claim one child and shop for them, and nobody ends up with the same tag. Add slots for gift wrapping and drop-off help on the same sign up. Teens are almost always the gap, so ask your partner organization to include a few older kids.
For a food drive, list the items your pantry needs most with quantities, like “10 jars of peanut butter” or “20 boxes of cereal.” Ask the pantry what they’re short on before you build the list. Add volunteer slots for collection, sorting, and delivery.
Want to collect cash too? Many people would rather give money than shop, and pantries can often stretch a dollar further than a donor can. For more planning help, see our food drive tips.
🎁 Angel Tree Template
Each angel gets a slot with age, clothing sizes, and wish list items, plus slots for gift wrapping and delivery help. It works for angel trees, adopt-a-family programs, and holiday toy drives.
Use the Angel Tree TemplateGift wrapping stations, community meals, bell ringing, and holiday markets all need people in shifts. Break the day into two-hour slots and set a limit on each so you don’t end up with eight people at 10 a.m. and nobody at 4 p.m.
Put arrival details in the description: where to park, what to wear, and who to find when you get there. Automatic reminders go out before each shift so volunteers don’t forget.

Volunteer Template
Start with three shifts across the day, each with its own role and slot limit. Rename the roles for your gift wrapping station, food drive, or community meal, and reminders go out before every shift.
Use the Volunteer TemplateChurch pageants, school concerts, and community plays need a lot of hands. Use separate sign ups for each part so they’re easy to manage:
Lock the audition slots after your sign up deadline so people can’t move their time at the last minute. For kids’ programs, collect permission forms at the same time.
Class Party Template
Start with slots for setup, snack donations, an activity leader, party supplies, and cleanup. Add a slot for each craft station and send it to families about three weeks before the party.
Use the Class Party TemplateHow do I make a Secret Santa sign up sheet?
Create a sign up with a “Join Secret Santa” slot and ask people to add gift ideas in the comments. Put the price limit, sign up deadline, and exchange date in the description. When the deadline passes, export the list, draw names, and send each person their match privately.
Is there a free Christmas potluck sign up sheet?
Yes. You can create a free online potluck sign up with slots for mains, sides, desserts, drinks, and supplies. Set slot limits so you don’t get too many of one dish. If you need a paper copy, every sign up has a print version.
Can I make a printable Christmas party sign up sheet?
Yes. Build your sign up online, then use the print version to post a copy in a break room or lobby. Most people will sign up from the link, and the printed copy is a handy reminder for anyone who walks by.
I’m organizing the work holiday party. Can one sign up handle RSVPs, food, and Secret Santa?
Yes. Add an RSVP, food slots by category, and a “Join Secret Santa” slot to the same sign up. Coworkers can say they’re coming, claim a dish, and opt into the gift exchange in one step.
How far ahead should I send a holiday sign up?
About three to four weeks for parties and potlucks, four to five weeks for Secret Santa, and early to mid November for toy and food drives. Earlier is better in December, when calendars fill quickly.
